Improving Apploi's Application Stage Manager

Overview
Apploi is a high-volume recruitment platform helping healthcare organizations make their application to hire workflow be more efficient. The Application Stage Manager is a one stop shop for setting the stages the applicants go through in the hiring pipeline and setting workflows to automate tedious, but crucial tasks throughout the process. Phase 1 of this feature is in production with an Alpha group that isn't using it and generally feeling a negative sentiment towards the experience.
A considerable constraint was the Product team's emphasis on ensuring the solution requires minimal backend development effort. The project resulted in a solution that will enable Managers to customize their team's workflow and enable Recruiters to move applicants through the "Application" to "Hire" pipeline efficiently.

Understanding the Problem
Initial Discovery
I did some initial discovery by gathering relevant customer feedback from the Customer Success team, aligning on vision with internal stakeholders, and doing light competitive research on other ATS platforms with a similar feature.
Who is this feature for?
One of Apploi's core personas is Management Mandy, who's typically a Recruitment Supervisor or HR Manager that oversees admin and sometimes fulfills recruiting responsibilities. Mandy owns the hiring strategy and establishes workflows for her team to follow from application to hire.
Usability Testing on the Alpha Version (In Production)
I conducted remote usability testing using Zoom and a Figma prototype on the Alpha version of the feature with 4 Apploi users who haven't never used it before, which uncovered some of the main issues users were having with the feature in production.

Management Mandy needs to easily adjust her team’s pipeline and build automated tasks so that she and her team can get applicants through the application to hire pipeline more quickly.
